Email deleted in Outlook goes to the Deleted Items folder. It is when it is deleted in the Deleted Items folder that it is placed in your PST file. Periodically Outlook recovers this space but it is possible to start the process manually too.

Compress the PST file after emptying the Deleted Items folder for the first time after numerous spam emails, or for example if you have just transferred a year's mail to your PST archive to save space.

The instructions in this article apply to Outlook 2019, 2016, 2013, 2010, 2007 and Outlook for office 365.

Compact a PST file to reduce its size in Outlook 2019, 2016, 2013 and 2010

Follow these steps if you want to reclaim space in an Outlook PST file manually:

§ Go to the File tab and select Info;

§ Select Account settings> Account settings;

§ In the Account settings dialog box, select the Data files tab;

§ Select the data file you wish to compact;

§ Select Settings;

§ Select Compact Now;

§ A progress bar indicates the state of the compact;

§ Select OK;

§ Select Close.

Follow these steps to reclaim space in an Outlook PST file manually:

§ Select File> Data file management;

§ Select the data file you wish to compact;

§ Select Settings;

§ Select Compact Now.
